This is an exceptional opportunity to work with an Oil&Gas Services company in Claremore, Oklahoma


Job Description:

Pay Rate: $35 to $40/hr depending on experience plus Medical, Dental and Vision under a W-2 Contract to Hire

Hours: 7:30am to 4:00pm Monday through Friday

Position Summary:

This role provides comprehensive administrative, operational, and business support to a department or unit, ensuring efficient day-to-day operations.

The Administrative Assistant will manage diverse tasks, from routine clerical duties to more complex business operations, serving as a key point of contact for internal and external communications.

Key Responsibilities:

Experience supporting Executives and strong verbal/ written communication skills.

Able to deal with confidentiality and sensitive information.

Manage calendars, schedule meetings, and coordinate appointments.

Handle incoming and outgoing mail, emails, and other communication.

Maintain filing systems, both physical and digital.

Assist with document creation, including reports, presentations, memos, invitation letters, etc.

Operational Duties:

Coordinate and support the planning and execution of events, meetings, and travel.

Monitor and manage office supplies and inventory, including identifying and negotiating with vendors.

Maintain and update databases, distribution lists and contact lists.

Support operational guidelines and procedures for the unit.

Business Support:

Conduct research and compile data for business initiatives and reports.

Assist with basic invoice payments, bookkeeping and financial transaction procedures.

Support the preparation of financial reports and documents/ presentations.

Handle confidential information with discretion.

General Office Management:

Maintain a tidy and organized office environment.

Support other executive team staff members with administrative tasks.

Assist with the upkeep of office equipment.

Required Skills and Qualifications:

Associate's degree required or bachelor's degree preferred.

Proven experience in an administrative or operational support role.

Excellent written and verbal communication skills.

Strong organizational, time management, and multitasking abilities.

Proficiency with computer software, including Microsoft Office Suite and database management.

Adept at learning new software and office systems.
